How to organise the space so that confidentiality follows automatically. This article is for organisations with several licences that have activated the SharePoint storage provided by Silex. It explains the one principle to understand before setting anything up. ### Where a document is placed decides who can see it In SharePoint, a document takes the permissions of the folder it is placed in. By default, the site has three groups — Silex Owners, Silex Members and Silex Visitors — which have access to everything. A document placed anywhere is therefore visible to everyone in your organisation. ### Can a member make their own document private? No. Members can upload, edit and share documents, but they cannot restrict access to a folder or document for the other members. Only the account holder of the Silex organisation, who is the owner of the site, can do that. ### So how do we keep documents confidential? Not by restricting documents one by one, but by preparing folders whose permissions are defined from the start: one folder per office, one per confidential matter, one personal space per person. Everyone then uploads to the right place, and each document is automatically visible to the right people only. ### Who does what? - The account holder (Silex Owners group, owner rights) creates the structure and the groups, and sets and changes permissions. - Members (Silex Members group, edit rights) upload, edit and share documents with colleagues. A firm with a single office simply keeps a shared folder, the matter folders and the personal spaces. ### Does Silex follow the same permissions? Yes. Silex applies exactly the same permissions as SharePoint, file by file. A member only sees and queries in the chat the documents they can open in SharePoint. Permission changes are taken into account within about 30 minutes. ### How long does the setup take? About 30 to 45 minutes for the account holder, done once. Do it before inviting members to upload documents: until permissions are in place, everything uploaded is visible to everyone.
